Messages and leads
Which plans: Pro
Take messages from your page, keep track of each lead, and follow up on time.
Before you start
- Plan: Pro.
- If you want to ask visitors something up front, such as their budget, have your questions ready.
Turn your message form on or off
- Go to Settings, then Privacy.
- Find Messages through your page.
- Select Turn off messages, or Accept messages to turn the form back on.
When the form is off, the contact details you chose to show stay on your page, and your leads stay in Leads.
Add your own questions
- Go to Settings, then Privacy.
- Find Your own questions on the message form.
- Type each question on its own line.
- Select Save questions.
The answers arrive with each message. Don't ask for passwords, card details or other highly sensitive information.
How messages reach you
- A visitor writes their name, email and message, and can add a phone number and answer your questions.
- The message lands in Dashboard, then Leads, and in an email to you, unless you turned off Messages and bookings emails in Settings, under Notifications.
- Replying to that email goes straight to the visitor.
- New messages show as a number on the Leads tab.
Reply to a lead
- Go to Dashboard, then Leads.
- Select the lead to open it.
- Select Reply by email to answer from your own email app. If they left a phone number, you can select Call or WhatsApp instead.
- Select Mark as replied.
Reply by email appears only when the lead has an email address. Call and WhatsApp appear only when it has a phone number.
Change a lead's status
- Open the lead.
- Pick its status: New, In conversation, Won, Not a fit, Archived or Spam.
- Select Update.
Leads sit in four views: Open (New and In conversation), Closed (Won and Not a fit), Archived and Spam.
Set a next step
- Open the lead.
- Type what you'll do in Your next step.
- Pick a date in By when.
- Select Save step.
Your next steps gather at the top of Leads under What you said you'd do, with late ones marked.
Keep a private note
- Open the lead.
- Type in Private note. Only you can see it.
- Select Save note.
Add a prospect yourself
- In Leads, select + Add a prospect yourself.
- Fill in their Name. Email, phone and the other fields are optional.
- Select Add prospect.
They're marked as added by you and work like any other lead.
Download your leads
- In Leads, select Download CSV.
- Open the file in Excel or Google Sheets.
Delete a lead
- Open the lead.
- Select Delete.
- Confirm when your browser asks.
Deleting can't be undone. To clear a lead without losing it, set its status to Archived instead.
What happens next
- Leads show 50 at a time. Use Older and Newer to move between pages.
- Times show in your own clock.
- The stats count leads you marked replied. ProSeen can't see replies you send from your own email, so mark them yourself.
- If your plan stops including messages, the form leaves your page. Messages you've already had stay in Leads.
If something goes wrong
- No messages arrive: check Settings, under Privacy, that your form is on. Leads also says when it's off, with a link to turn it on.
- No emails about new messages: check Settings, under Notifications, that Messages and bookings is ticked, and check your spam folder.
- You replied but the lead still looks waiting: select Mark as replied.
- “That status isn't available on your plan”: your plan has fewer statuses. Pick another one.
